Save Time and Money With Web-Based Application Forms
Submission
The Background:
Companies spend enormous sums
of money to attract a prospective customer, whether
they are loan applications for a financial institution
or applications to resell your products. In some cases,
a paper-based application can go through US Postal mail
and then from one desk to another before it's input
into the company customer data bases. When that happens
valuable time is lost and, in some cases, customers
are lost because no one knows their paperwork is "in-Process".
Processing those application forms will be a customer
service challenge whether you're selling to businesses
or consumers and is the focus of this month's case history.
The
Problem: Speeding
up the time for processing applications
The
Solution: Our
analysts studied the problem for two clients and created
a partial application form process to capture folks
that gave up part way through. We then created an email
based procedure to rapidly process completed applications.
The
Process: We
first divided up the application form into several small
forms. We captured the most critical information first
so the information can be stored in a data base from
the start. This allows our client to contact someone
who has filled out a partial form and capture them as
a customer on the phone.
   
Second,
an email notification goes out as soon as an application
form is completed to the first-line manager for approval.
The preliminary approval triggers a second email to
the executive in charge who also can approve/disapprove
the application online. At each step of the way, the
applicant is also sent an email letting them know where
they are in the approval process.
Lastly, with executive approval completed, accounting
is notified so a valid customer record can be created
for this applicant.
The whole process takes less
than 72 hours, when in the past progress was measured
in weeks.
The
Payoff: Customer
service costs are reduced and customers get better service
by being able to access the application form information
data base at any time during processing at a comparatively
modest one-time development cost.
